Website Privacy and Cookie Notice

This notice explains the personal-data processing activities that may arise through the Trides website and the communication channels presented on it. It also describes the technical cookies used by the website and the principal measures concerning the protection of personal data.

1. Purpose and Scope

This notice has been prepared by Trides Teknik Servis Hizmetleri Limited Şirketi (“Trides”) under Article 10 of Turkish Personal Data Protection Law No. 6698 (the “Law”) to inform individuals about personal-data processing that may take place when trides.com.tr is used or when Trides is contacted through the communication channels presented on the website.

2. Data Controller

16120 Nilüfer / Bursa, Türkiye
Email: kvkk@trides.com.tr
Registered electronic mail (KEP): tridesteknik@hs01.kep.tr

3. Data Collection Through the Website

The website does not contain a contact form, membership facility, user account, comment area, online application or a similar personal-data collection field. Trides does not directly collect names, telephone numbers, email addresses or message content through the website. Telephone numbers, email links and map links displayed on the website only allow visitors to contact Trides voluntarily or proceed to an external service.

4. Personal Data That May Be Processed During Communications

When Trides is contacted by email, telephone or another electronic communication channel, the following data may be processed: name and surname; company, position and title information; telephone number; email address; other information contained in an email signature; and the content of requests, messages, documents and attachments. This data is obtained primarily from messages, documents and email signatures provided by the individual during direct communications with Trides. In some circumstances, information may also be provided by authorized persons communicating with us in connection with the individual’s employer or a project.

Data received through instant-messaging applications or similar electronic channels that Trides does not present as corporate communication channels is processed only to assess the communication and make any necessary referral. If a request becomes a technical-support matter, the relevant contact information and request and support records are also processed in the internally managed Trides support system. Trides does not record telephone calls.

5. Technical Connection and Log Data

When the website is accessed, limited transaction-security and log data, such as an IP address and website access information, may be processed technically through the hosting infrastructure. This data may be processed to deliver the website to the visitor’s device, provide hosting and system security, preserve service continuity, prevent misuse and comply with applicable legal obligations.

The relevant records may be retained by the hosting provider, Natro, for periods required by applicable legislation and the service and may be disclosed to legally authorized authorities. Trides does not use this data for advertising, marketing, visitor analytics or user profiling.

6. Cookies

The website uses the first-party pll_language cookie to remember whether a visitor has selected Turkish or English. The cookie is created by Polylang and retained for one year. It is a user-interface customization cookie used to remember the visitor’s language selection and display the website in the selected language.

Its use is limited to providing this function; it is not used for advertising, marketing, user profiling or analysis of visitor behaviour. The website does not use any other analytics or advertising cookies. As the cookie is used to provide the language-selection function explicitly requested by the visitor, separate cookie consent is not obtained.

7. Purposes and Legal Grounds for Processing

Personal data is processed on different legal grounds depending on the nature of the relevant activity. Operating the website and language-preference function; assessing and responding to communications; conducting corporate communications and project, quotation, service and technical-support processes; and maintaining system and information security are carried out on the basis of Trides’ legitimate interests, provided that the fundamental rights and freedoms of the individual are not adversely affected.

Processing directly related to the establishment or performance of a contract to which the individual is a party is based on necessity for establishing or performing that contract. Record-keeping, notification and similar processing required by legislation is based on compliance with Trides’ legal obligations. Managing legal claims and disputes is based on necessity for the establishment, exercise or protection of a right. These legal grounds are provided under Article 5 of the Law. Contact information is not added to advertising, newsletter or general marketing lists.

8. Transfers and Disclosures of Personal Data

Limited technical connection and transaction-security data generated when the website is accessed may be processed by Natro for the provision of hosting, maintenance of system security and service continuity, and compliance with applicable legal obligations.

Trides’ email services are provided through a shared Microsoft 365 environment registered to and administratively managed by the group company Trevi Teknoloji Bilgi İşlem Danışmanlık Sanayi ve Ticaret Limited Şirketi. In this context, Trevi Teknoloji may process the personal data necessary for the technical administration, security and service continuity of the environment on behalf of Trides.

Because Microsoft 365 services are used, email content and attachments, contact details and limited technical data generated while the service operates may be processed outside Türkiye by Microsoft and Microsoft’s service providers.

Where a request concerns product selection, quotation, supply or sales, personal data may be shared with Trevi Teknoloji only to the extent necessary. Trevi Teknoloji may process personal data transferred to it for these purposes as a separate data controller for its own quotation, supply and sales processes.

Personal data may also be disclosed to authorized public institutions and organizations, courts and legal advisers where necessary to comply with a legal obligation or to establish, exercise or protect a right.

9. Methods of Collection

The communication data described above is obtained when it is provided through email, telephone or another electronic communication channel by the individual, the individual’s employer or an authorized person communicating in connection with a project. If a request becomes a technical-support matter, the relevant records may be transferred to the internal support system. Language preference is collected through the functional website cookie. Limited technical connection data may be collected automatically through the hosting infrastructure when the website is accessed.

10. Retention

Personal data is retained for as long as necessary to conduct the relevant communication, project, service or technical-support relationship; document company activities; comply with legal obligations; and protect rights in potential disputes. Retention periods are determined by considering the system in which the data is held, the record type, any continuing business relationship, applicable statutory periods and legal requirements. When the reasons requiring retention cease to exist, the data is deleted, destroyed or anonymized under the applicable retention and disposal processes.

11. Data Security

Trides applies technical and organizational measures proportionate to the nature of the personal data and the relevant risks to protect personal data against unauthorized access, loss, alteration and unlawful processing.

12. Rights of Individuals

Under Article 11 of the Law, you may apply to Trides regarding your personal data. You may ask whether your data is processed and for what purposes, and request information about the processed data, the parties with whom it has been shared and international transfers.

You may request the correction of incomplete or inaccurate data; deletion or destruction where the applicable conditions are met; and notification of these actions to parties to whom the data was disclosed. You may also object to an adverse result arising solely from analysis by automated systems and request compensation where you suffer damage because your personal data has been processed unlawfully.

13. Applications

You may send requests under the Law to kvkk@trides.com.tr together with sufficient information to identify you and your request. Applications may also be submitted in writing to the company address stated in the “Data controller” section or through the registered electronic mail address tridesteknik@hs01.kep.tr. To protect personal data, additional information may be requested where necessary to verify the applicant’s identity.

Trides responds to applications as soon as possible and no later than thirty days, depending on the nature of the request. Applications are generally handled free of charge. Where processing the application entails an additional cost, fees determined by the Turkish Personal Data Protection Board may apply. The response is provided to the individual in writing or electronically.

14. Updates

This notice may be updated when the services used on the website, personal-data processing activities or applicable legislation change. The current version is published at trides.com.tr.
